Text Formatting Guidelines

Sept 2011, updated 11-15-13

  • Spotlight shape [part of line motif]: do not extend across page; extend to end of 1st column whenever possible. If title is long, extend to middle of second column. Wrap any remaining text.
  • Text/table/figure/shaded box should always start at a specified place at top of page (may not be same place for page 1 as for page 2, but should always start same place on all page 1's and the same place on all page 2's, etc.).
  • Reference job #32005 for styling of tables and algorithms
  • Use white line to separate test code, specimen requirements, and CPT code information within the gray box.
  • We should not change the amount of line spacing above the subheads (eg, Clinical Use, Clinical Background, etc.) These subheads should be in semi-bold font, slightly smaller than recommended in Brand Identity guidelines
  • If we need to decrease line spacing between bullets, we should do so for all bullets in the piece. We should try to reduce amount of line spacing before we eliminate line spacing between bullets.
  • If we need to make more changes to fit, let's try reasonable adjustments to line spacing before we decrease font size. If we must decrease font size, we should decrease as little as possible (eg, 10 to 9.5 is preferable; 9.0 if absolutely necessary; never below 9.0)
  • Black box warnings: use black border around the warning.
  • Documents having multiple pages: do not place type of piece (eg, Test Summary, Clinical Focus) under green line on inside pages. Only designate type of piece on the front and back pages.

Tables and Figures

  • Tables and figures should be positioned at top or bottom of the page and preferably after the first mention in the text. Since we can't exactly put a table at bottom of the 2nd page, we could try bottom of the 2-column portion of the page (ie, before it reverts back to 1 column for the CPT code statement) if needed. This is hard to describe in writing, so we can discuss over the phone if needed.
  • Let's standardize on 1/4 inch between text and table or figure (eg, on page 1 of this PDF-¬between bottom of text and the table title; page 2 of this PDF--between end of table footnotes and top of text).
  • Table title should not float above top of table.
  • Table column headers: shade in highlight color [30% tint] and use bold, highlight color font.
  • Table footnotes should not look like bullets and should not have line spacing between bottom of table and beginning of footnotes. Note: this is an content issue and a format issue; it's important for the footnotes to clearly look like they are part of the table and not separate from it. All scientific/medical documents I'm aware of do not format footnotes as bullets and don't put line spacing between the footnotes. Also, we need to save the space.
  • I haven't found specifications for line spacing within the table. Please use same line spacing as used for body text.
  • Arrows in table should be Wingdings 3 Regular font.
